Who we are

Time Clock is a time clock app for field crews. RPMx Construction ("we", "us") runs the service.

Your employer gives you your account and decides how your records are used for payroll. Your employer is responsible for its employees’ records. We run the service for your employer.

This policy tells you what the Time Clock app and this website collect, why, who receives it, and how long it is kept.

What we collect

Your employee number and your name.
Your punches (clock in, clock out, Start Break and End Break), with the job and the equipment you select.
Your precise location at each punch, and only at each punch. The app does not track you between punches, and it reads your location only while the app is open on your screen.
A face template: a set of numbers made from your face, not a photo. At each punch, a face check: a liveness check and a match score.
A photo when you punch offline, so that a supervisor can review the punch.
A random device ID that the app makes.
A check that the app is genuine (Apple App Attest or Google Play Integrity).
Your phone’s clock and time zone, and whether you are online.
Flags for a VPN, a proxy or a simulated location. When a flag is set, the name and the country of the network provider are kept with it.
Your IP address and its country, at each punch and when you set up the face check.
Correction requests and the notes you write.

When the app shows a map, OpenStreetMap receives your IP address and the area of the map.

What we do not collect

Your location when you are off the clock, or where you drive.
Your contacts, your messages, your photo library or your other apps.
Advertising IDs. The app shows no ads and does no tracking.
Your email address.

Face data

We set up the face check only after you agree on the consent screen.
We use your face data only to confirm who you are when you clock in and clock out.
Face detection runs on your phone.
Your face template is stored encrypted on our servers (Microsoft Azure), with a separate key.
We never send your face data to an outside face-recognition company.
We never sell, lease or share your face data for commercial purposes.
We destroy your face data when you delete your account or withdraw your consent, and no later than 1 year after your employment ends, unless the law requires us to keep it.

Why we use it

To record your time.
To pay you correctly.
To confirm who punches.
To prevent time fraud.
To meet wage-and-hour law.

Who receives it

Your employer: supervisors, payroll and HR.
UKG, the payroll provider.
Microsoft Azure, which hosts the service.
Apple or Google, for the check that the app is genuine.
On Android, Google ML Kit detects faces on your phone and sends usage metrics to Google.
OpenStreetMap, for maps.

We do not sell your data.

How long we keep it

Punches and time records: At least 3 years, as the US federal wage-and-hour record rule requires (29 CFR 516).
Face template: Until you delete your account or withdraw your consent, and no more than 1 year after your employment ends.
IP address: 90 days.
Photo of an offline punch: For as long as needed to review the punch, then deleted.
Consent record: As long as the law requires.

Your choices

Delete your account in the app: More › What we collect › Request account and data deletion. Or delete it on the web, on the Delete account page.
Deleting your account deletes your face data and signs you out. Your time records stay for the retention period above.
To withdraw your consent to the face check, contact your HR department.
The app needs your location and your camera to punch. You can turn them off in your phone settings, but then you cannot punch with the app.

Security

All traffic uses HTTPS.
Face templates are encrypted at rest, with a separate key.

Age

The app is for workers 16 and older. It is not for children under 13.

Changes to this policy

When we change this policy, we post the new version on this page and update the effective date.
